When reconciling Stripe deposits, it's important to know that the "batch cutoff time" is in Coordinated Universal Time (UTC). For this reason, you'll want to ensure that the report(s) used for reconciliation include "UTC" in the title.

  • Sales and Finance reports not titled with "UTC" are in local time.

  • Payment Transaction - UTC reports (under Finance) and reports related to accrual-based accounting (i.e., deferred and realized revenue) are in UTC.

If you select June 15, 2021, on a local time report, the data will not perfectly match with June 15, 2021, selected on a UTC report. Understanding the deposit schedule comes into play when reconciling.

You'll only see report data for locations you have access to, so please ensure you have permission for all locations using the relevant gateway


Reconciling your Deposits with your Mariana Tek Data

  1. Check your bank statement and identify a deposit you want to reconcile and the date the deposit occurred. Check the Selecting the Accurate Date Range for Reconciliation section for more info.

    1. If you are summing deposits together, look at the date of the first and last deposit on the statement and the last Stripe deposit.

      1. You receive one deposit per gateway, no matter how many locations share that gateway.

      2. If multiple locations use a particular gateway, the person pulling the report needs access to all relevant locations to see the total that can be used to reconcile deposits.

  2. In Mariana Tek Admin, pull up your Payment Transactions by Gateway-UTC report by navigating to Reports > Finance > Payment Transactions by Gateway - UTC.

    1. *Notes:

      1. You receive separate payouts for each gateway, including if the gateways use the same bank account.

      2. If multiple locations use that gateway, the person pulling the report needs access to all relevant locations to see the grand totals.

  3. Set the start and end date on the date picker for the date you’re reconciling -- in this example, June 15th, 2021.

  4. Identify the corresponding deposit day using the guide below.

    1. In this example, the corresponding deposit day is Wednesday, June 17th, 2021.

      1. Deposits do NOT arrive on the day transactions occur, so you'll need to make sure the date(s) selected in the Admin report correspond to the deposit date.

      2. In the US, most clients have a 2-day deposit delay. That is typically 2 business days. Deposits do not arrive/get released on weekends or federal holidays.

      3. In Canada and the UK, most clients have a 7-day deposit delay. As in the US, deposits do not arrive/get released on weekends or federal holidays.

  5. Look at the total in the “Total Net Amount” column. This will match the deposit you received on the corresponding “deposit day” for the account you’re looking at.


Deposit Schedule

After you receive your first Stripe payout (7-14 days after your first successful credit card charge), your deposits will follow a deposit schedule.

The guide below assumes your account is set to daily payouts with a 2-day payout delay for U.S. accounts. View the guide to confirm expected deposit dates for this payout schedule.

The most common deposit schedule outside the U.S. is daily with a 7-day payout delay.

Following the 2-day payout delay:

  • Transactions processed Monday-Friday will be received in 2 business days.

  • Transactions processed on Saturday and Sunday will be received in 3 business days.

  • Transactions processed on a bank holiday are typically received on the third business day after the bank holiday.

The date you receive your deposits could be impacted by your bank’s processing times, among other factors.

In many cases, you will receive a single deposit for transactions processed on Saturday, Sunday, and Monday (UTC). If a bank holiday occurs on a Monday (e.g., Memorial Day falling on Monday, May 31st, 2021), you may receive a single deposit for Saturday-Tuesday (UTC).

* Transactions processed on bank holidays typically arrive within 3 business days.

** You may receive a single deposit on Wednesdays for your transactions processed on Saturday, Sunday, and Monday (UTC). In the event of a bank holiday on a Monday, you may receive a single deposit on Thursday for your transactions processed on Saturday, Sunday, Monday, and Tuesday (UTC)


Selecting the Accurate Date Range for Reconciliation

Understanding your payout delay will help prevent discrepancies between Mariana Tek and Stripe data.

For example, you'll likely find discrepancies when comparing the data from your bank statement for April 1-30 and the April 1-30 data from the Payment Transactions by Gateway - UTC report.

Continuing with the 2-day deposit delay example (and also knowing that deposits can't land on weekends or federal holidays), the payouts received in April 1-30, 2021 are actually from March 30 - April 28, 2021.

That said, you'll need to set your date range to March 30 - April 28 in the Payment Transactions by Gateway - UTC report and compare the data with your April 1 - 30 bank statement for the data to match.
