How do I use the Potential Duplicate Accounts report?

The Potential Duplicate Accounts report surfaces all customer accounts with a potential duplicate account.

A variety of criteria are used to determine if an account may be a duplicate:

  • Same name (first and last) + same phone number

  • Same name (first and last) + same address

  • Same name (first and last) + same zip/postal code

This report is useful for:

  • Identifying customers' multiple accounts and merging duplicate accounts.

  • Identifying customers who've created multiple accounts to take advantage of special offers limited to a finite number of purchases by looking at the "Promos Used" column.

The report shows all accounts at your business, even if the employee doesn’t have access to certain studios. This ensures potential duplicates aren’t hidden by studio filters.


Pulling Up the Report

  1. Navigate to Reports from the left menu > Operations > Potential Duplicate > View.

  2. Apply any additional filters.

    • Filter options:

      • Home Location

  3. Click Generate Report and, if necessary, Export the report.


Understanding the Report

The Potential Duplicate Accounts report includes 10 data fields:

  1. Full Name

  2. Email

  3. Matching Field(s): Address, Phone, and/or Postal.

  4. Date Joined: Date when the customer's account was created.

  5. Home Location: Home location selected in their account.

  6. Birthday

  7. Phone Number: The number associated with the customer account.

  8. Address

  9. Postal Code

  10. User ID: ID generated by the system and located in the address bar of their customer profile.
