How do I reconfigure and resell my customer's Membership Contract if it needs to be updated?

If you modify your current Membership Contract, such as changing the Membership Type or the number of usages, those changes will NOT apply to existing members. 

The change only affects new purchases of the membership.

To update the Membership Contracts on a customer's account, you must cancel their current membership and resell them the membership. This also applies if you must move them to a completely different membership.


Updating the Membership Contract

The first step is to update the existing Membership Contract or create a new one.

If creating a new Membership, don't forget to update your Buy Page.

If you need to update just the price, update the price on the Membership Contract, and then you can update the price on each Contract sold to customers.


Canceling existing Membership Contract

Next, cancel the existing Membership Contract on your customer's account.

Pending Reservations

Any pending reservations for classes after a Membership cancellation date will be canceled. We recommend canceling the Contract based on Interval rather than Immediately because it will require you to recreate any pending reservations.

If the Membership's booking window is larger than the days remaining until the next payment, we recommend scheduling their membership to expire at the end of the next interval. This way they can continue to make reservations without running into issues.

For example, if your membership has a 14-day booking window but only 7 days left, we recommend setting the membership to expire at the end of the next interval.


Reselling the Membership Contract

Head to the POS and resell the updated or new Membership Contract to the customer.

Cancellation and Activation Dates

In the POS, select Edit Contract Start. The Membership should be set to Bill on Start and set to the date after the current Membership expiration date.

The following membership example expires and completes its current cycle on the same date. The new membership should begin on 8/18/24 to prevent any interruptions in making reservations.

When a Membership is canceled and sold, it will send a transactional email message to your customer.

To limit confusion, we recommend informing customers before initiating.


Reporting on Membership Contracts

To find the old Membership on the existing customer's account, your studio can use the following report to track progress:

    • This report displays future scheduled payments. This helps you determine if you should cancel the existing reservation at the current interval or expand it to the next interval

    • Use this to find all customers with a specific Membership Contract.

    • Use to confirm all outdated Membership Contracts have been canceled.
