How do I use the Membership Details report?

The Membership Details report surfaces information on all customers who have purchased a membership. Each row indicates a membership contract, and some customers will be listed more than once if they have multiple memberships.

This report is useful for:

  • Viewing all of the memberships purchased by customers

  • Viewing the current statuses of memberships:

  • Filtering the exported report and identifying expired memberships for marketing campaigns

  • Viewing the most popular membership contracts once exported


Pulling up the Report

  1. Navigate to Reports from the left panel > Marketing > Membership Details > View.

  2. Apply any additional filters.

  3. If necessary, export the data.


Understanding the Report

The Membership Details report includes 24 data fields:

  1. Membership Status:

    • Active: Membership is current, payments are up to date, and it's not expired. Active memberships can book reservations up until their end date.

      • If a membership is cancelled, its status will remain Active until the cancellation date.

    • Pending: Membership is waiting to activate (set to start on first use). Activation happens at first check-in or if a penalty no-show or late cancellation occurs.

    • Frozen: Payments and booking are paused. Reservations can't be made during the freeze period but can be booked for dates outside of it.d.

      • Only an employee can freeze and unfreeze a membership on a customer’s behalf.

    • Payment Failure: A membership in payment failure has an invalid credit card on file and has missed a membership renewal fee, and is past the grace period.

      • A membership in Payment Failure will become Active when the credit card issue has been corrected.

    • Penalty Fee Failure: A membership in penalty fee failure has an invalid credit card on file, and the card on file could not be used to charge for a reservation that was a no-show or late cancellation.

      • A membership in Payment Failure will become Active when the credit card issue has been corrected.

    • Cancelled: A membership is cancelled when an employee sets a membership to end before its scheduled end date.

    • Terminated: A terminated membership is one that an employee ends immediately. The membership holder can no longer use their membership to reserve classes.

    • Done: A membership that has successfully renewed and reached the renewal limit configured for the membership contract.

  2. Membership Type: Name of the membership type configured for the contract.

  3. Membership Contract: Name of the membership contract.

  4. Customer Name: Customer's name.

  5. Customer Email: Customer's email.

  6. Customer Phone Number: Customer's phone number.

    • *Note: May be blank if the customer did not add this information to their account.

  7. Purchase Location: The location tied to the purchase,

  8. Last Status Change: Date of last action taken on the customer's membership.

  9. Status Change Time: Time of last action taken on the customer's membership.

  10. Cancel Initiated On: If applicable, the date a membership has a cancellation date added.

  11. Cancel Initiated By: If applicable, the name of the person who initiated the membership cancellation. If the cancellation was initiated by a customer, this field will read "Customer."

  12. Cancellation Reason: Reason the membership was cancelled/terminated

  13. Purchase Date: The membership's purchase date.

  14. Currency: Currency of the membership renewals.

  15. Renewal Rate: The rate of membership renewals.

  16. Payment Interval:

    • DY = Day

    • MO = Month

    • YR = Year

  17. Payment Interval Length: A numerical value of the payment interval length.

  18. Renewal Limit: The number of times the customer has to pay for the membership, including the initial payment.

    • If the number in the column is 1, that refers to the initial payment, and there are no more renewals. If it is blank, the membership renews forever.

  19. Renewals Remaining: The number of remaining renewals if a membership is set to recur for only a set number of times (i.e. a 3-month membership contract).

    • If it is blank, the membership renews forever.

  20. Commitment Reached:

    • True = Yes

    • False = No

  21. Start of Payment Interval:

    • First usage

    • Date purchased

    • Specific date

  22. Customer Usage Limit Per Interval: If customer usage is limited, the number of classes the customer can book into per interval (i.e. 30 per month).

  23. Guest Usage Limit Per Interval: If guest usage is allowed, the number of guest usages per interval (i.e. 1 per month).

  24. Customer ID: Customer's unique ID generated by the system.

  25. Membership ID: Membership ID generated by the system.


Intro Offers

Membership Intro Offers are not located in the Membership Detail report. This is because buying an Intro Offer does not classify you as a "member."
