How do I use the Inventory on Hand report?

The Inventory on Hand report surfaces information on the inventory count of the retail products you're tracking, as well as the value of these products.

For example, let's say you have branded t-shirts:

  • You have 10 left in stock at your studio

  • The cost of each shirt is $10

  • Therefore, the value of the inventory on hand is $100, or the number of t-shirts left in stock multiplied by the cost of those t-shirts (10 shirts x $10 = $100).

This report is useful for:

  • Knowing how much inventory you have on hand.

  • Viewing how much inventory you have on hand for items you are not currently selling by filtering for inactive products.

  • Pairing the Inventory on Hand report with the Cost of Goods Sold report to identify the most profitable products.

The report only displays items with the Track inventory box checked on the product variant


Pulling up the Report

  1. Navigate to Reports from the left panel > Inventory > Inventory On Hand > View.

  2. Specify the date in the date picker.

    • The inventory numbers will reflect how many units were available on the chosen date.

  3. Apply any additional filters.

    • Filter options:

      • Currency

      • Product Type: The category of items sold (e.g., Clothing)

      • Location: Where the inventory is set

      • Status: Active or Inactive

  4. Select Generate Report and, if necessary, export the data.


Understanding the Report

The Inventory on Hand includes 14 data fields.

  1. Product: Name of the product at the time of purchase.

  2. Variant Color: If applicable, the variant color (i.e., for a red shirt).

  3. Variant Size: If applicable, the variant size (i.e., for a size small shirt).

    • Each variant will populate its own row.

  4. Vendor: Brand of product.

  5. Location: Location where the product is sold.

  6. Barcode

    • If a product's barcode changes and you generate an updated report, the data will still reflect the barcode of the product at the time of purchase.

  7. SKU

    • This field will update to reflect any SKU changes.

  8. Product Status:

    • Active = Products that are ready to sell and/or currently selling.

    • Inactive = Products that are not currently being sold. They can be ordered and inventoried, but do not show up in the point of sale system.

  9. Archived Status:

    • True = Product has not been deleted

    • False = Product has been permanently deleted

  10. Current Inventory: Number of available products.

  11. Current Price: The amount the product is sold at (customer's price).

  12. Current Cost: The unit cost (your price).

  13. Currency

  14. Inventory Value: The current inventory x current cost.
