Canceling a class

Classes on your schedule can be canceled or deleted.

  • Cancel classes when it's not being offered for an unexpected reason, such as poor weather, power outage, sick instructor, etc.

  • Delete classes when you are no longer offering the class at your studio

Once a class has been canceled or deleted, it cannot be restored.


Getting Stated

To cancel or delete a class, access the class through the:

  • Schedule in the left side menu > select the class > Edit Class

  • Or through the class roster > ellipses > Edit Class

Find the Cancel and Delete button at the bottom of the class.


Canceling Classes

When a class is canceled in Mariana Tek, the following actions happen:

  • The class is marked as canceled

  • All payment options used to pay for the class are refunded to customers immediately

    • Unless the no-show window has passed. If the no-show window has passed, refunds must be processed manually through the members' account profiles under the purchases tab

  • Customers' names who booked into the canceled class will remain visible in the roster. To prevent clients from being marked as no-shows, ensure that they are checked in immediately after being added to a class.

If a class has active reservations, you can message them before canceling. When canceling a class, you have two display options:

  • Show as canceled on the public schedule

  • Hide from the public schedule completely

You have 48 hours after a class ends to make edits, including canceling it.

However, if you cancel after the no-show window has passed, the system has already:

  • Marked attendees as no-shows

  • Deducted credits or membership uses

  • Applied penalty fees

In this case, you'll need to manually reverse those actions.


Deleting Classes

When deleting non-recurring and recurring classes, make sure no reservations exist for the class(es) you'd like to delete and that the class is in the future.

If a class has any actions that would create a record in the Attendance Log, you must cancel the class first, then delete it.

You can use the Class Session Utilization report to locate classes with reservation activity. Any class with a value in the % utilization column, even if that value is 0%, will show activity in its attendance log.

When deleting a class, you have the options to:

  • Delete Only This Class

    • must ensure that it does not have reservations

  • Delete This And All Future Classes

    • Any class in the series with reservations must be canceled and deleted individually
