Acquiring an Account Balance
Customers can acquire an account balance in three ways:
Gift Card Redemption: Customers redeem a gift card to their account balance. This action is permanent.
Refunds to Account Balance: When you process a return, you may apply the refund to the account balance instead of the original payment method.
You cannot remove or adjust refunds applied directly to account balances. If a refund is mistakenly applied to an account balance, you can adjust it with a workaround. See the section on Adjusting Refund-Applied Account Balances for detailed steps.
Admin: Authorized employees can add a complimentary balance.
To view a customer's Account Balance, search for the customer > Payment Methods. To modify/add funds to the account balance, click Modify Account Balance, enter the desired amount, then click Save.
All account balance transactions, including gift card redemptions and refunds, are final and cannot be modified. You can remove only a complimentary account balance added by a studio employee.
Account Balance Usage Rules
Gift Card Purchases
Cannot be used to buy gift cards with a dollar value (e.g., a $100 Gift Card).
Can be used for Credit Package gift cards (e.g., 3-Pack Gift Card).
Membership Payments:
Recurring Memberships can be paid with the account balance.
The first payment on a Bill on Start Membership must be paid with the customer’s credit card on file. The following payments can use the account balance
Adjusting Refund-Applied Account Balances
When a refund is mistakenly applied to a customer’s account balance, you can't reverse it directly. However, you can remove or adjust the balance with a workaround.
This is not a recommended practice for routine use. This method will affect revenue reporting in Mariana Tek and may cause reporting issues if used frequently.
Create a product named Account Balance Adjustment and make sure it does not apply sales tax.
Set the product amount to the amount you want to remove from the customer's account balance. Adjust the amount as needed.
In POS, purchase the product and use Account Balance as the payment method for the same amount. For example, a $100 sale will remove $100 from the customer's account balance.
If the customer is owed a monetary refund, issue the payment outside of Mariana Tek.
If needed, deactivate the Account Balance Adjustment product.
