How do I use the Gift Cards and Account Balances report?

This report provides a summary of revenue associated with gift cards and account balances. All Finance reports are in UTC (Coordinated Universal Time).

This report is useful for:

  • Viewing the total outstanding amount of gift card account balances by location.

  • Viewing the deferred revenue by location.

  • Closing your fiscal year.


Pulling up the Report

  1. Navigate to Reports from the left panel > Finance > Gift Cards and Account Balances > View.

  2. Specify the time frame from the date picker.

When selecting the date range, the surfaced data is the change in deferred revenue within the time frame.

If you want to view the remaining balance up to a certain date, you'll need to filter the date range starting from the beginning of the migration date or the studio opening.


Understanding the Report

The Gift Cards and Account Balances report includes 6 data fields:

  1. Balance Item: The type of account balance.

    • Account Balance: One row.

    • Gift Cards (from credit package gift cards): Multiple rows (one row for each studio location).

    • Gift Card Account Balance (from gift cards for a monetary amount): Multiple rows (one row for each studio location).

  2. Purchase Location

    1. Rows without purchase locations are for migrated gift cards with deferred revenue.

  3. Currency: Dependent on the purchase location.

  4. Comped Balance

  5. Deferred Revenue:

    1. For account balance, any account balance added to customers' accounts via a gift card account balance or a refund.

    2. For gift cards, the unredeemed amount from credit package gift card sales.

      • When redeemed, the deferred revenue is deducted from this report and "moved" to the Credits Deferred Revenue report.

    3. For gift card account balances, the unredeemed amount is from monetary value gift card sales.

      • When redeemed, the amount is moved over to the Account Balance row.

  6. Total Balance Outstanding: The total outstanding balance.

Negative numbers in the report surfaced when the account balance was used to pay for a transaction.
