How do I create a new employee or instructor?

Easily create a new employee or instructor.

To create a new employee, go to Employees > New Employee.

First, you'll select whether you want them to be active or inactive. Active employees can log into the admin system immediately upon saving. Inactive employees will be added to the list of employees, but will be unable to log in.Β 


Basic Information

Has a Customer Account

If the employee currently has a customer account, type in the customer's email address first and hit the "tab" button on your keyboard. The system will then search for the customer's profile and populate all Basic Information fields on their customer account.

New Employee

If they do not have a current customer account, begin at the top with the name fields and continue to populate all required fields.

Basic Information includes:

  • First and Last Name

  • Phone Number

  • Company

  • Birth Date

  • Pronouns

  • Profile Photo

    • This is not the Profile Photo that will display on the public-facing schedule. This option will appear after selecting the Instructor role

  • Emergency Contact

  • Legal

  • Purchase Agreements

  • Account Administration: Home Studio, Tags, Recurring Fees

    • Employees will AUTOMATICALLY be tagged with an employee tag. This tag can take up to an hour to appear on an employee's account. It does not impact their ability to log into the system. Active/Inactive status determines the ability to log in.

  • Marketing Channels

  • Password

    • If they do not have a customer account, you can assign them a password. We recommend the user immediately resets their password.


Location and Roles

Location

Setting the location determines what location the Employee can access. The manager or admin creating the Employee, can only add locations which they have access.

Multiple locations can be selected.

Roles

Roles determine what employees can and cannot do within the system. For example, a front desk role may be able to manage reservations, yet only a manager can forgive late cancellation penalties. Roles can be customized to your studio. To reconfigure a role, contact us at support@marianatek.com

Instructor Specific Fields

After selecting the Instructor role, five additional fields will populate.

  • Profile Name: This will display on the public schedule and in reporting

  • ​Biography: Bios are limited to 1,000 characters.

  • ​Profile Images:

    • The thumbnail image will be displayed on the public-facing schedule on your website and consumer app.

    • The large image will be displayed on the instructor profile within the consumer app.

  • Social Media

    • Instagram handle

    • Spotify link
