Standby reservations are confirmed reservations outside the total capacity of your class. Some studios choose to oversell popular classes, as they expect a few no-shows.
Most people are familiar with standby tickets for air travel. A Standby Reservation in Mariana Tek is very similar. In both scenarios, the concept revolves around filling an available spot when a registered customer is absent. For a class, a Standby Reservation allows individuals who haven’t secured a spot in advance to attend if there are last-minute cancellations or no-shows.
Configuring Standby on a Class
To add a Standby option, go to the Class > Edit > Advance Setting.
The Standby Capacity can not be greater than the capacity of the layout assigned to the class. The number should be based on average no-shows or late cancellations.
We recommend only setting a Standby Capacity on classes that commonly have no-shows or late cancellations.
Standby vs Waitlist
The Standby and Waitlist features sound similar, but function very differently. Think of the Standby feature as an "Active Waitlist."
If you are on the Waitlist, you are waiting until your reservation is moved from the Waitlist to the Class Roster. If the customer isn't moved to the class roster, then the customer should not show up at your studio.
For a Standby Reservation, the customer shows up at the studio without being on the active roster. If there is a no-show or last-minute availability, a studio employee can add them to it. The customer is standing by at the studio, hoping a spot opens up.
Once the class ends, anyone on the Waitlist will be removed and will not receive penalty fees for no-shows or late cancellations.
Standby Reservations are treated as normal reservations but do not count towards the class capacity. This means that all late cancellation and no-show rules apply to Standby Reservations.
Making a Standby Reservation
If the class is full and Standby is available, customers will book a Standby Reservation just like a regular reservation. They will be informed that they will get a spot at the studio.
Your mobile app and website do not use the word Standby. Occasionally, customers will assume they have a reservation when they only have a Standby Reservation. We strongly recommend informing your members of the difference between a regular reservation and a Standby Reservation.
The ability to make standby reservations is turned off 5 minutes before the class to allow employees to manually move customers into class without exposing the ability to make standby reservations to others. Managing Standby Reservations on the Class Roster
Standby Reservations will be placed at the top of the class roster with a Standby icon and the Assign button.
If the Assign button is grayed out, the class is full, and there are no available spaces. If a spot becomes available, use the button to move them to the active roster.
If the customer is not assigned a spot, no-show fees will apply the same as if it is a regular reservation. If you do not want them to receive a no-show fee, you must cancel the Standby reservation and waive the fee.
Studio Experience
If you are using the Standby feature, we recommend having an area in your studio labeled the Standby area for customers to wait. This will help keep them in one location while your studio checks in customers. Also, your Front Desk can easily locate them if a spot becomes available.
If a customer tries to check in through Kiosk Mode on the Biz App or Mobile Check-in, they will be prompted to speak with the front desk.
