How do I use the Class Session Utilization Details report?

The Class Session Utilization Details report surfaces utilization metrics per class, including check-ins, cancellations, no-shows, standby, waitlist, and whether or not the instructor was a substitute.

This report is useful for:

  • Viewing an overview of how the studio is doing by day, week, etc

  • Analyzing how well a class time/instructor/class format is doing to make any schedule modifications

  • View a list of classes missing instructor assignments

Pulling up the Report

  1. Navigate to Reports from the left panel > Utilization > Class Session Utilization Details > View.

  2. Specify the date range from the date picker.

  3. Apply any additional filters.

  4. Select Generate Report, and if necessary, export the data.

Understanding the Report

The Class Session Utilization Details report includes 20 data fields:

  1. Location: Studio location of the class.

  2. Class Date: Date of class.

  3. Class Time: Time of class.

  4. Class Day of Week: Monday-Sunday.

  5. Instructors:

  6. Has Substitute?:

    • True = Yes

    • False = No

    • Blank = No instructor was added

  7. Classroom

  8. Class Tags: Specification on which credits/memberships can be used to book into a class.

  9. Class Type: Type of class (i.e. bootcamp, yoga, etc.).

  10. Pending Standard Reservations: Number of standard reservations not checked in.

  11. Pending Standby Reservations: Number of standby reservations not checked in.

  12. Pending Waitlist Reservations: Number of waitlist reservations not checked in.

  13. Checked In Reservations: Number of checked-in reservations.

  14. Late Cancelled Reservations: Number of late cancellations.

  15. No-Showed Reservations: Number of no-shows.

  16. Admin Holds: Number of spots held by employees in the admin platform.

  17. Unavailable Holds: Number of spots made unavailable via the unavailable feature in the admin platform.

  18. Layout Capacity: The total number of reservations you can sell for the class.

  19. Actual Capacity: The actual number of reservations you can sell for the class (i.e., two spots are made unavailable due to broken machines).

  20. % Utilization: Percentage of the number of check-ins/actual capacity.

Once a class is cancelled, it is automatically excluded from this report.
