How do I create and manage a service for private training appointments?

Services refer to the private or semi-private offerings your studio provides. These might include:

  • Personal Training

  • Mobility or Stretch Therapy

  • Massage Therapy

  • Nutrition Consultation

You’ll create and configure your services under Configuration > Services.


Permissions

Permissions can be configured on user roles to manage appointments, including viewing and creating.

Allows roles to create, edit, and view appointment services.

Admin, Studio Owner, Studio Manager

Creating a Service

Click New Service.

Complete each section:


Details

  • Service Name

  • Description

  • Duration: Minutes

Each item under Details is visible to the customer.


Location

  • Locations: Select locations that offer this service.

  • Assign Rooms for this Service: Enable if the service requires a specific room, and its availability must be checked to prevent double booking.

    • Yes or No

  • Rooms: Select rooms where this service is provided. Room availability will help determine the booking time slots shown to customers. Ensure room appointment availability hours are up to date for accurate scheduling.

    • If a room is not showing, go to Configuration > Locations > Edit Classrooms to adjust the room availability.

    • If multiple locations are selected and require a room, a room must be selected for all locations.


Instructor

  • Instructor: Choose one or more who deliver this service

    • If you are offering it at multiple locations, you will need to select at least one instructor for each location.

  • Base Pay Rate: Percentage or Fixed Amount


Customers

  • Maximum Reservations per Session: Total number of people who can attend each session, including guests.

    • For example, if a service allows 1 customer and 2 guests, set it to 3.


Pricing

  • This Service is Free: Yes or No

    • Free services do not require credits to book.

  • Service Price (Internal): Used for payroll and reporting. Customers will not see this value.

    • If assigned locations have multiple currencies (e.g., USD and CAD), fields for each local currency are shown.

  • Credit Types: Which credit types can be used to pay for this service


Review

In the review step, you can view all service details by clicking on the different tabs.

  • Service Status: Enable this to allow bookings for this service. If inactive, reservations cannot be made.

    • If made inactive, existing appointments will remain on the schedule.


Editing a Service

To edit a service, go to Configuration > Services > three-dot icon next to the service > Edit.

In the service, use the Previous button to access the section that needs editing.

All fields are editable and only apply to future appointments. Editing a service will not affect existing bookings.
