Use Xplor Growth Livestream Manager to send automated reminders for in-person and virtual classes.
When can reminders be sent?
You can choose to send a reminder:
Immediately after registration
1 hour before class
15 minutes before class
5 minutes before class
You can use one reminder or a combination of several.
Good to know: Time-based reminders are sent only if the client registers before the reminder is scheduled. For example, if a client registers 20 minutes before class, they won't receive your 1-hour reminder.
Step 1: Set up your Email Template
To use Email reminders, you will need to set up a new Email Template.
In Xplor Growth, navigate to Marketing > Marketing Calendar and click Create New > Scheduled Email > Full Design.
Call the email Class / Appointment Reminder Template and schedule it for any time in the future (you won't actually send this email).
Choose any simple email template. Select Edit Details and enter the subject line as Reminder - Your Class Starts in One Hour or whatever you would like this to say.
Ensure the Sending Address and From Name are your studio. Recipients can remain blank.
In the body of the email, enter the following or make changes to reflect your brand.
Subject:

In the top-right corner, select Save and Exit > Save in progress.
Send yourself a Test Email to verify the links, and then select Save as Template.
Name the template Class/Appointment Reminder - 1 Hour
Step 2: Turn on Livestream Manager
In Xplor Growth, go to: Automation > Livestream Manager > Class Schedule > Turn on for My Account to activate the feature.
Classes that are toggled on as Virtual will receive the automated reminders you set up. Don't let the "Virtual" label confuse you â you can use this feature for in-person classes too!
Step 3: Set up your reminders
Select Set Up from the left-hand menu, and choose when you'd like clients to receive reminders:
At registration
1 hour before class
15 minutes before class
5 minutes before class
For each reminder, you can choose to send an email, text message, or both.
If you are already using Livestream Manager to send waivers one hour before class, you can not send both reminders at the same time. Instead, you can send appointment reminders 15 minutes or 5 minutes before the class or appointment.
Email reminders
Select Send an Email, then choose the template you'd like to use.
You can choose:
Xplor Growth Templates â ready-to-use templates that automatically use your logo and branding.
Saved Templates â custom email templates you've created and saved in your account.
If you'd like to create your own reminder email, build and save the email as a template first, then return to Livestream Manager to select it.
Text reminders
Select Send a Text Message and enter the message you'd like clients to receive.
Use personalizations to automatically include information like the client's first name, class name, instructor, date, and time.
A few notes about SMS Messages:
Livestream Manager SMS messages are sent as Marketing SMS messages and will appear in your SMS inbox. Clients must be opted in to Marketing SMS in order to receive them.
If a client replies STOP to an SMS message, they will be opted out of all Marketing SMS messages
Livestream Manager SMS messages count toward your monthly SMS count
Classes must be marked as "public" in your schedule in order for SMS reminders to be sent.
Currently, you can't send reminders more than 1 hour before a class or appointment begins.
Step 4: Save your Changes
Scroll to the bottom of the page, acknowledge the statement, and click Save.
Once Livestream Manager is turned on, Xplor Growth will automatically send reminders for classes with toggled-on reminders.
You can turn Livestream Manager off again or edit your reminders at any time.
Step 5: Test your reminders
If you wish, you can send yourself a test.
From Class Schedule:
Find a class that's toggled on as Virtual.
Click View.
Select Options in the top-right corner.
Choose the reminder you'd like to test.
Enter your email address or phone number.
You'll only be able to test reminders you've already enabled under Set Up.
