What is a late cancellation window?

Late-cancel window determines how soon before class a customer's reservation can be canceled without incurring a penalty fee.

A late-cancel window determines how soon before class a customer can cancel their reservation without incurring a penalty fee. Late cancellations are dependent on the class start time. Your studio can create multiple late cancellation windows that can then be specified for each membership or credit package.

To create a new late-cancellation window, submit the following form:

Example of interval late-cancel windows:

  • After 5 pm the day before class, any cancellation is considered a "late" cancellation.

Examples of rolling late-cancel windows:

  • 12 hours before the start of class

    • If a customer cancels two hours away from class start time, they'll be charged a penalty fee. If they cancel 14 hours away from class start time, they're within the late cancellation window and will not be charged.

  • 6 hours before the start of class

    • If a customer cancels four hours away from class start time, they'll be charged a penalty fee. If they cancel 8 hours away from class start time, they're within the late cancellation window and will not be charged.

  • 1 hour before the start of class

    • If a customer cancels less than an hour away from class start time, they'll be charged a penalty fee. If they cancel 2 hours away from class start time, they're within the late cancellation window and will not be charged.

You may override late-cancel windows on a per-class basis through the advanced settings.
